Moderating a Workshop

Throughout the program, each mentee group will moderate one roundtable workshop (marked “STUDENT MODERATED”). The Proxima Team will invite speakers, send calendar invites, and set up Zoom. Students, with support from the Proxima Team and mentors, will:

• Research the speaker’s background and work to craft engaging questions.
• Share speaker info and supplemental materials with participants.
• Collect suggested questions from participants before the event.
• Organize questions logically to ensure smooth discussion flow.
• Develop the workshop agenda.
• Facilitate the live workshop session.

Mentors will monitor progress and ensure each group has the resources needed.

Key tips for effective workshop moderation:

  1. Preparation
    – Define clear objectives and a timed agenda
    – Gather materials and test technical setup

  2. Facilitation
    – Actively listen and acknowledge contributions
    – Encourage participation, especially from quieter members
    – Keep discussions on schedule and resolve conflicts diplomatically

  3. During the Workshop
    – Set ground rules at the start
    – Use icebreakers or introductions
    – Guide discussions with open-ended questions
    – Summarize key points as you go

  4. After the Workshop
    – Collect participant feedback
    – Share notes and action items
    – Reflect on successes and areas for improvement
